Body Jewelry Inventory Card: Save Sizes, Parts, and Product Links

A body jewelry inventory card keeps a piece’s confirmed specifications, photos, and purchase details in one place. Give each piece a short ID, copy the specifications from its order or confirmed product record, and attach a photo. Keep the card in a notes app, a spreadsheet, or on paper beside your jewelry organizer.

The detail that makes this work is the source. “8 mm” is hard to use months later if you cannot tell whether it meant a post length or a ring’s inner diameter. Save the name of the measurement alongside the number, and leave anything you cannot confirm marked “unknown.”

Use “not applicable” for a measurement that does not belong to that piece. Use “unknown” when a relevant detail is missing. Those two answers tell you different things when you return to the card.

Give the piece an ID you can find again

Choose a simple personal ID such as J-001. Put it in the note title, the photo filename, and the label beside its storage compartment. Keep that ID even if you move the piece; update the location line instead.

For a hypothetical entry, give the piece the ID J-014 and write “Box A, compartment 3” under Storage location. Label the outside of the box “A” and mark the compartment “3,” with J-014 beside the piece. If you later move it to Box B, compartment 2, keep J-014 and change only the location entry. Use names that match the labels you can see.

A seller’s model number belongs on a separate line. It may identify a design sold in several colors or sizes. Your personal ID identifies the particular piece in your collection. If you own the same design in two post lengths, give each one its own card.

For photos, use a clear view of the decorative front and another showing the side or backing when you already have the piece off. Photograph it beside its ID label so similar files do not become mixed up. A photo helps recognition; it does not establish an unmarked measurement.

A worked example using a real product listing

Here is an example record for the Gold / 1.2*8mm option of our Princess-Cut CZ Flat Back Stud. The product fields below were checked on September 15, 2026. J-001 is an example filing ID, not a customer’s record or a size recommendation. The cover shows the silver-colored version; the record below uses the Gold option.

Save the product link with the selected option, then keep the relevant order line or specification screenshot with the card. A live page may later change. If you are documenting an older purchase, its original order record matters more than today’s default selection.

Keep measurements in separate fields

Use our gauge, length, and diameter guide when a label is unfamiliar. The card is a place to store confirmed specifications; it does not determine which size your piercing needs.

Preserve the units in the original source. Body jewelry can be described using gauge, metric, and imperial systems, as explained in The Point’s guide to jewelry sizing. Keeping the original wording avoids turning an approximate conversion into a supposed measurement.

Keep the color label separate from any material documentation, too. “Gold” in an option selector tells you which option was selected. Copy a material or surface-treatment statement only with its source, and save any supporting document separately.

Record a replacement without erasing the old information

If a component is replaced, add a dated line naming the old part, the new part, and who confirmed the match. Keep separate references for a decorative end and its post. A note saying “both 16G” is not a confirmed pairing.

Save the manufacturer’s exact compatibility reference. For example, NeoMetal’s FAQ describes its own threadless components; that does not confirm parts from another seller.

If a product link stops working, retain the saved specification and order reference. Add “link unavailable” and the date. You still have a trail to follow when asking the seller for help, without replacing the old record with a visually similar product.

Share a copy with someone buying you a gift

If someone would like to buy you jewelry, you can share a copy of a card you have checked. Keep the product link, selected option, and confirmed specifications together, with the source and date. Leave any unresolved field marked “unknown.”

Make a separate copy for sharing. Remove order numbers, payment details, addresses, storage locations, and any personal notes you do not want to send. If you attach a screenshot, check that it does not include those details elsewhere on the page.

For a piece you do not own yet, label the link “design I like” so the buyer can distinguish a suggestion from a record of an existing piece. A preferred design is not a confirmed fit. If you are the gift buyer, ask the recipient which details they are comfortable sharing and wait for the missing information before selecting a variant.

Common questions

Should I record each piece in a pair?

You can use one card if both pieces have identical confirmed specifications and stay together. Add the quantity explicitly. Use separate IDs when sizes differ or when you need to track them independently.

What if I only know the model number?

Record it, attach a photo, and leave the size fields unknown. Ask the seller for the original selected option using your order reference. Do not copy the first size shown on the current page into an old purchase record.

Does the card replace a fitting check?

No. It describes jewelry you have recorded. The Association of Professional Piercers’ size guidance emphasizes individual anatomy and placement. Ask a qualified piercer about personal fit rather than treating a saved size as suitable for every piercing.
